Founded in 1964, Europabank is a Belgian bank offering a wide range of financial services to both individuals and businesses. With 47 commercial branches across Belgium, the bank serves a broad customer base – from personal loans to business credit and savings solutions. The back office in Ghent works daily to further digitize and streamline internal processes to operate more efficiently.

Challenges

One of Europabank’s biggest challenges was the lack of a central platform for internal communication and document management. The previous communication platform was outdated, static and lacking interaction features such as likes and comments.

Content updates could only be made via the IT department, which caused delays. Documents were spread across multiple systems, making daily operations more difficult and falling short of the organization’s modern needs.

Choosing Involv

The Business Process Management department began searching for a new intranet that would be user-friendly, centrally managed and offer interactive features. The choice fell on Involv, built on Microsoft SharePoint – seamlessly aligning with Europabank’s existing IT infrastructure.

Solution

In September 2023, Europabank launched an intensive implementation process, including eight to ten workshops with different internal teams. The collaboration ran smoothly and employees could ask questions and exchange ideas directly. During the workshops, the intranet was explained step by step, with a hands-on learning approach.

An internal user guide was also developed, tailored specifically to Europabank’s processes. It includes instructions for uploading documents, creating new items and using tags, helping teams get up to speed more quickly with the new platform.

The partnership with Involv was experienced as very positive. Fast follow-up, clear communication, and a personal approach were key throughout the process.

The Launch

The new intranet went live in March 2024 with a festive rollout. Since the launch coincided with Easter, Europabank opted for a warm and playful introduction:

  • Birth announcement cards to unveil the new platform

  • Easter chocolates for all staff

  • Departments were appointed as “godmothers” or “godfathers” of the platform

This approach generated curiosity, engagement and a strong sense of ownership from the start.

Future plans

Just five months after launch, Europabank is already looking ahead. The roadmap includes:

  • Analytics to measure usage and impact

  • Automatically generated newsletters

  • Onboarding tools for new employees

  • Possible deployment of the mobile app and Cast to extend reach and accessibility

Conclusion

Thanks to Involv, Europabank now has a modern, centralized platform that has significantly improved internal communication and document management. Employee engagement has increased and the collaboration with Involv was experienced as fast, personal and highly effective.
