Lantis delivers mobility and liveability projects in the Antwerp region, with the Oosterweel connection currently being its most well-known project. Over the past few years, the organisation has grown significantly and today employs around 450 people, many of whom work in a hybrid setup and are spread across multiple office locations in and around Antwerp.

That strong growth – from around 100 employees to 450 in just eight years – brought clear challenges in terms of internal communication: how do you ensure that everyone remains informed, engaged and connected in an increasingly complex organisation?

In this interview, Hanne Oostvogels and Jeroen Heymans from Lantis share how they addressed that challenge with Involv Intranet, and the impact it has today on their day-to-day operations.

Too many channels, too little overview

Before we started working with Involv Intranet, we didn’t have a central intranet. Internal communication mainly took place via email and Viva Engage. In a fast-growing organisation with hybrid employees spread across different office locations and construction chains, that approach increasingly began to show its limits.

Information became scattered across mailboxes and different channels. It became difficult to retrieve messages or to be sure that everyone had been reached. With every communication, the same question kept coming up: has everyone seen this, and where can colleagues find this information again later?

In addition, it became increasingly clear that knowledge and documentation could no longer depend on individual inboxes or personal storage. As we grew, we needed more overview, more structure and a sustainable way to store information centrally and make it accessible.

Our choice for Involv Intranet

During our search for an intranet solution, we compared several options, as is standard within our selection process. We defined clear criteria that proved decisive in making the final choice.

Ease of use was crucial, both for end users and administrators. The platform needed to be accessible and intuitive, allowing people to get started quickly. We also considered it important that the solution was scalable and dynamic: an intranet that could grow along with our organisation and be easily adapted to new structures, teams and projects.

Strong integration with the Microsoft ecosystem also played an important role. Around 90% of our IT environment runs on Microsoft, making a solution built on SharePoint a logical choice. The existing SharePoint knowledge within our organisation also ensured a smooth implementation and rapid adoption.

Involv Intranet brought all of these elements together in a single solution: intuitive to use, flexible in setup and perfectly integrated with our existing Microsoft environment. That gave us confidence that the intranet not only addressed our current needs, but was also ready for the future.

Since the implementation – which went smoothly and according to plan, supported by targeted workshops – Involv Intranet has become a fixed part of our daily operations.

What we especially appreciate:

  • News and content are centrally bundled and easy to find

  • The “Who is Who” functionality helps colleagues find their way in a changing organisational structure

  • Teams and themes provide clear structure and overview

  • Information can be updated easily and dynamically, without constantly having to send additional emails

  • Employees can look up information themselves, reducing internal pressure

A concrete example is an internal relocation campaign in which part of our organisation moved to a different workplace. Involv Intranet served as a central information hub, where colleagues could always consult the most up-to-date floor plans and practical information. Changes could be made quickly, without overwhelming the organisation with extra emails.
